Information We Collect
1. Information You Provide
- Account Information: When you create an account, we collect your name and email address. If you sign in with Google, we receive your name and email address from Google.
- Content: The video files you upload and the SOPs, screenshots, and edits generated from them.
- Team Information: The email addresses of people you invite to your workspace, and their roles.
- Billing Information: For paid subscriptions, payment is handled by our payment provider. We receive your plan, billing status, and billing email, but not your full payment card details.
2. Information We Collect Automatically
- Device Information: IP address, browser type, operating system, and device identifiers.
- Usage Data: Actions performed on the platform, such as uploads, edits, exports, and deletions.
3. Cookies and Similar Technologies
We use essential cookies to keep you signed in and remember your preferences, and analytics cookies to understand how the platform is used. You can manage or block cookies through your browser settings.
How We Use Your Information
We use your information for the following purposes:
- To provide, maintain, and improve our services.
- To process videos and generate SOPs as requested by you.
- To manage your subscription and billing.
- To send service emails, such as account verification, team invitations, and important updates.
- To understand how features are used so we can improve them, using product analytics.
- To enforce our Terms of Use and protect against misuse.
Product analytics looks at how the platform is used, such as which features are used and how often. We do not use the content of your videos or SOPs for analytics, research, or training AI models.
Third-Party AI Processing: We use Google's AI services to analyze your videos and generate SOPs. Your video files are sent to Google's servers for processing only. Google does not use your content to train their AI models, and files are automatically deleted from Google's servers within 48 hours of processing.
Service Providers
We use trusted service providers to run the service, including for cloud hosting and storage, AI processing, authentication, product analytics, payments, and email delivery. They process your information only on our behalf and only as needed to provide the service.
We do not sell your personal data, and we do not share it with other third parties unless required by law.
Team Workspaces
When you work in a team workspace, other members of that workspace can see the SOPs in it and the names and email addresses of its members, according to their role. The workspace owner and admins can see who has been invited.
Published SOPs
When you publish an SOP, anyone with its link can view it without an account. You can unpublish an SOP at any time.
Data Ownership
You retain ownership of the content you upload and the SOPs generated. We do not claim rights over your content.
Data Retention
- Video Files: Uploaded videos are retained until you delete your SOP.
- AI Processing: Files sent to Google for processing are automatically deleted within 48 hours.
- Screenshots: Extracted screenshots are retained until the associated SOP is deleted.
- SOPs: Generated SOPs are retained for as long as your account is active or until you delete them.
- Account Data: When you delete your account, you lose access immediately and your content is taken offline. We keep your content for up to 30 days, then permanently delete it. We keep a minimal record of the account (email address, name, account dates, and basic usage) to prevent misuse of the free plan.
Global Data Storage
To ensure fast and reliable service, user data is stored on servers located in the EU region (AWS) and globally distributed infrastructure (Google Cloud). We comply with applicable data protection laws for cross-border data transfers.
Your Rights
- Access and Update: You can access and update your account information through your account settings.
- Deletion: You can delete your SOPs and your account at any time.
- Copy of Your Data: On the Pro plan you can export your SOPs as PDF or Markdown from the app. On any plan, you can request a copy of your data by contacting us.
- Opt-Out: You can opt out of marketing communications.
Security Measures
We implement industry-standard measures to protect your data, including:
- Encryption in Transit: TLS 1.3 for all data transmission.
- Encryption at Rest: AES-256 encryption for stored data.
- Access Control: Row-level security ensuring users can only access their own data and the workspaces they belong to.
- Authentication: Google and Microsoft sign-in, email and password, and passwordless sign-in via secure Magic Links.
Our infrastructure providers (AWS, Google Cloud, Supabase, Vercel) maintain SOC 2 Type II and ISO 27001 certifications. Despite implementing these robust security measures, no data transmission or storage system is completely secure. We cannot guarantee absolute protection against all potential security breaches.
Children's Privacy
Our services are not intended for users under 18 years of age. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last Updated" date.
